WhatsApp customer service templates for small teams
Reusable replies for delays, complaints, refunds and after-sales check-ins that keep your tone consistent.
Three rules before any template
- Name the problem in the customer's own words before offering a solution.
- Give a time, not a vague reassurance.
- Own the error without blaming a supplier, courier or system.
The four templates you will use most
- 1Delay
Acknowledge, give the new date, offer one remedy.
- 2Complaint
Repeat the issue, apologise once, state the fix and the deadline.
- 3Refund
Confirm eligibility, state the timeline, confirm the channel.
- 4Check-in
Ask about the outcome, not satisfaction. Outcomes get replies.
